2. What we collect
Through the application form and the contact form we collect only: your name, email address, telephone number, preferred contact method, current country, requesting country, general purpose, requesting organisation, your consent selections and approved advertising or tracking parameters attached to the page you arrived on.
3. What we never ask for on this website
- Passport information or identity documents
- Criminal-history information
- National Insurance numbers
- Bank or card details
- Passwords
- Medical information
- Full residential history
Please do not enter this information into any form on this website. If it is ever required for a specific application route, we will explain separately how to provide it securely.
4. Why we use your data and our lawful bases
- To review and support your application request — performance of a contract or steps taken at your request.
- To reply to enquiries — our legitimate interest in answering people who contact us.
- To meet accounting, tax and legal obligations — legal obligation.
- To send optional service updates — your consent, which you may withdraw at any time.
5. Internal support notifications
When you submit a form, a limited notification is sent to a private internal support channel hosted on Telegram. Telegram is a third-party messaging service used for limited internal support notifications. Its precise legal role in relation to this processing is being confirmed as part of our legal and privacy review, and this policy will be updated accordingly.
The notification contains only: your Regent reference, selected route, name, email, telephone, preferred contact method, current country, requesting country, general purpose, requesting organisation, your consent results and approved tracking parameters. It never contains passport information, identity documents, criminal-history information, National Insurance numbers, bank or card details, passwords, medical information or full residential history.
The internal channel is private and accessible only to authorised Regent Record Check staff.
6. Payments
Payments are processed by our payment processor on its own website. Regent Record Check does not receive, see or store your card details. The processor handles your payment information under its own privacy policy.
7. Cookies and measurement
See our Cookie Policy. This website uses a strictly necessary session cookie to protect forms against cross-site request forgery. Advertising parameters attached to the page address are recorded with your request but never change the price, route, payment destination or content you are shown.
8. Sharing
We share personal data only with: our hosting and email providers, the internal messaging service described above, our payment processor, professional advisers, and public authorities where we are legally required to do so. We do not sell personal data.
9. International transfers
Some of our providers may process data outside the United Kingdom. Where that happens we rely on the UK approved safeguards, such as the International Data Transfer Agreement or the UK Addendum.
10. Retention
Enquiry records are kept for 12 months. Support-request records are kept for 24 months. Records needed for accounting purposes are kept for six years. Internal notification messages are deleted according to a 12-month retention schedule.
11. Your rights
You have the right to access, rectification, erasure, restriction, objection, portability and withdrawal of consent. Contact support@regentrecordcheck.co.uk. You may also complain to the Information Commissioner's Office at ico.org.uk.
12. Security
The website is served only over HTTPS. Forms are protected by cross-site request forgery tokens, same-origin checks, server-side validation, a strict field allowlist and rate limiting. Access to support records is limited to authorised staff.
13. Changes
We will update this policy when our processing changes and will publish the revised date at the top of the page.
